Great Gonerby Events Committee - Minutes of Meeting – 11 May 2026

1. Public Participation (First 10 Minutes)

The Chair opened the meeting and invited members of the public to speak.

One member of the public raised concerns regarding the lack of village events and expressed the view that events should not be managed by the Parish Council Committee but instead by a separate independent group.

In response, Cllr Gray informed the attendee that planning for a village event, Great Gonerby SummerFest, was already well underway, with significant preparatory work completed behind the scenes.

The public participation session was then closed, and the formal meeting commenced.

2. Apologies for Absence

No apologies for absence were received.

3. Update on Summer Fest

Cllr Gray provided an update on progress for Great Gonerby SummerFest, scheduled for 9 August 2026.

Event Planning Update

  • Local food vendors have been sourced and booked
  • Relevant compliance and certification documentation has been obtained
  • Entertainment options identified and costed

 

Proposed Activities and Costs

  • Giant Assault Course – £204
  • Penalty Shoot Out – £118.80
  • Rabbit Races – £108
  • Inflatable Darts – £84
  • Balloon Bomb Squad – £108
  • Skittle Alley – £114
  • Kids Rodeo – £156
  • Generators (x2) – £108

Subtotal: £1000.80 (excluding delivery and insurance)

Logistics

  • Electrical supply assessed; sufficient sockets available
  • Generator required for large equipment
  • Event times agreed: 12:00pm – 6:00pm
  • Pricing for activities agreed between £1 and £3 per use
  • Volunteers will be required; councillors encouraged to assist and recruit support

Payment Method

A proposal to introduce a card reader for non-cash payments was discussed.

RESOLVED: That a card reader be procured for use at the event.
(Approved unanimously)

4. Payments for Summer Fest

The Committee considered the financial requirements for securing activities and equipment.

  • Initial deposit requirement: £300
  • Following discussions with the supplier, full payment of £1000.80 requested to secure bookings
  • Additional costs anticipated:
    • Delivery charges
    • Insurance cover (for weather-related cancellation)

Budget

  • Total event budget capped at £1,500

RESOLVED:
That the Committee requests the Responsible Financial Officer (RFO) to approve and release payment of £1000.80, plus associated delivery and insurance costs, within the agreed budget.
